Registrar (to begin July 1, 2019)

Porter-Gaud School is seeking a full-time, year-round Registrar. This position will have oversight of the registrar function for 1st through 12th grades. The Registrar will oversee and support the Lower and Middle School registrar functions as carried out by personnel in the Lower School (grades 1 through 4) and the Middle School (grades 5 through 8). The Registrar will be solely responsible for all aspects and functions of the Registrar for the Upper School. The Registrar will also work closely with the College Counseling Office and provide support for the Upper School Scheduler.

Major Responsibilities for College Counseling Office:

-Enter all outside school information for new students and provide a summary of credits needed to meet the PG graduation requirements.

-Generate unofficial and official transcripts upon request.

-Provide statistical data and reports, including GPA's, junior course enrollment for Junior Profile, copies of transcripts from outside schools, etc.

- Assist with Naviance – including importing of student information.

-Work closely with the College Counseling Office on student academic performance, grading issues, reports, testing, and programming (PG Engage, College Nights, etc.)

Major Responsibilities of the Registrar Function:

-Update all current faculty information and add new faculty, course and room records in the database for Lower, Middle and Upper School.

-Responsible for all divisions for processing new students into the school and withdrawing students who leave during and at the end of the academic year.

-Oversee and assist in the updating of all school student and parent records including updating of personal information as needed, transcript holds, and other documentation.

-Assist IT Director with database management duties related to records as needed.

-Oversee physical student records, including producing new permanent record cards in grades 9-12 and updating them.

-Produce the permanent record grade stickers for all divisions.

-In the Upper School only, record grade information and results of standardized testing (ERB, PSAT, SAT, SAT II, and AP scores) to permanent record cards.

-Assist the US Scheduler with the following:

oProvide historical grade information to department chairs to aid in recommendations for students for the upcoming school year

oProvide scheduling materials for Upper School advisors in the spring prior to course registration

oAssist with entry of course requests, and run reports as needed

oAssist in producing materials for the Upper School for the opening of school – including rosters, student schedules, master room and teacher grids, etc.

-Run Upper School reports for courses, grades, statistical and other data as requested by administrators and faculty.

-Generate transcripts for underclassmen upon request.

-Create and update reports in the database as needed.

-Post Upper School report cards.

Qualifications:
-
Bachelor's degree from an accredited college or university.

-Previous school experience; independent school experience is a plus, as is experience with registrar functions.

-Exceptionally strong communication skills, including the ability to discern when a communication is needed.

-Exceptional attention to detail.

-Strong computer skills including Microsoft Office and Google GSuite.

-Experience with student information system software; familiarity with Blackbaud education software and Naviance is an advantage.

-The Registrar will have a past record of the ability to work cooperatively with a variety of people with diverse needs while maintaining focus on mission.

-The Registrar will have a past record of a strong work ethic, positivity and a healthy sense of humor.

-The Registrar will be able to maintain confidentiality of information.

Reporting:The Registrar reports directly to the Head of Upper School.

Salary: Commensurate with experience.
