Primary Responsibilities
Provide support to administrators which may include phone calls, maintaining calendar and appointments, letters, mailings, scheduling and coordinating daylong candidate or guest visits, preparing for end of year and new school year, and other administrative tasks.
Manage records, update records, and run reports in school databases.
Process, organize, and manage programs of the School. Depending upon assignment, examples may include admission testing, admission events, college counseling events, college application materials, SAT and AP testing, etc.
Manage specific projects, coordinating information and other school personnel.
Greet visitors to the assigned office in a professional manner. Depending upon assignment, visitors may include current students and parents, prospective students and parents, faculty and staff, candidates for positions at the School, and other visitors.
Serve in rotation with other school Administrative Assistants to cover the main office of the School during portions of school holidays and vacations, as directed by the Head of School.
Provide support seasonally and as needed to other departments of the School. Assist with graduation ceremony.
Confidentiality
Maintain the strictest confidentiality and discretion in all matters pertaining to the School, particularly student, family, and personnel information, both within the School community and within the larger community as a whole.
Personal Attributes
The successful candidate will be a proactive, organized person, able to multitask and work with distractions in the environment. Administrative Assistants at Porter-Gaud School will understand the mission of the School and hence welcome direction not only from their direct supervisor but also from multiple people at the School. Administrative Assistants will be able to establish and maintain courteous relationships with all constituencies of the School including students, parents, faculty and administrative staff colleagues, and visitors to campus. Administrative Assistants will possess the motivation to work independently with the School's mission as their guide to coordinate the efforts of other school personnel. Administrative Assistants will be punctual and display reliable attendance.
Qualifications
The successful candidate will have:
- A Bachelor's degree from an accredited college or university
- Prior work experience of a similar nature
- Strong technology skills to include competence in working with databases (experience with Blackbaud and or Naviance is a plus)
- Proficiency with both Microsoft and Google applications
- Evidence of exceptional communication skills, both written and interpersonal
- Evidence of superior organizational skills
Salary
The salary will be commensurate with experience.

Hiring Process
Select applicants may receive a telephone interview. After telephone interviews are concluded, a small group of finalist candidates may be chosen to interview individually on campus. Skills assessments may be administered either in advance of or on the interview day. On the interview day, the finalist candidate will be provided with additional detail about each position. Finalists will meet with each of the three hiring departments as well as others at the School.
